1. Your Data, Your Control

Your data belongs to you. BestChatBot was designed with privacy as a foundation, not an afterthought. Everything you upload serves one purpose: powering your chatbot. You retain full ownership and control at all times.

2. How We Use Your Data

The documents, URLs, and content you upload are processed for one reason: building your workspace's Knowledge Base. That is what makes your chatbot accurate and relevant. Here is how it works:

  • Your content is processed and stored in a private, isolated Knowledge Base.
  • Only queries directed at your chatbot access that data.
  • We do not use your data to train, fine-tune, or improve any AI model.
  • We do not combine your data with any other user's data.

3. AI Models and Your Privacy

BestChatBot uses pre-trained AI models that do not learn from your data. Your content and conversations never enter any model training pipeline. To answer a question, conversation content (including messages and the results of any tools the assistant uses) is sent to AI inference providers and is stored as part of your conversation history so you can review it in your dashboard. Conversation history is automatically deleted after 12 months of inactivity.

4. We Never Sell Your Data

We do not sell your data, and we never share it with data brokers or advertising networks. To run your chatbot we do rely on a small set of sub-processors (such as AI inference providers and, when you enable them, integration platforms) which process conversation data solely to deliver the service you asked for. We never use your data, or your customers' data, to train AI models or for our own marketing. The full list of sub-processors is in our Privacy Policy and Data Processing Agreement.

5. Data Deletion

When you delete a workspace, all associated data is permanently removed. This includes your uploaded content, your chatbot's learned context, conversation history, and workspace settings. We do not keep copies or residual data after deletion. This action is irreversible by design. Separately, conversations are automatically deleted after 12 months of inactivity, even while your workspace stays active.

6. Data Storage

We store only what is necessary to operate your chatbot. Here is the full list:

  • Knowledge Base data: the processed content that powers your chatbot's responses.
  • Account information: your email and login credentials, managed securely by our authentication provider (SOC 2 Type II certified).
  • Workspace settings: your chatbot configuration, response preferences, and connected platforms.

All data is stored on secured servers with encryption at rest. Each workspace is fully isolated, so no data is shared or accessible between users.
